Case Worker Registration

NeedBridge is an email-powered need-matching platform that connects people in need with volunteers through nonprofit organizations. Case workers are the people who create needs on behalf of clients and coordinate with volunteers to fulfill them. If you want to serve as a case worker for an organization using NeedBridge, you need to register and be approved. This article explains the registration process from start to finish.

What Is a Case Worker?

A case worker in NeedBridge is someone who:

  • Creates needs on behalf of people in the community
  • Manages those needs through the fulfillment process
  • Coordinates between volunteers and clients
  • Updates need statuses as they progress
  • Has access to the admin panel to perform these tasks

Case workers are a trusted role within the organization. Because they handle sensitive client information and have access to the admin panel, registration requires approval.

Finding the Registration Page

To register as a case worker, you need the organization's case worker registration link. This link is typically:

  • Shared directly by the organization's admin or coordinator
  • Provided during training or onboarding sessions
  • Available on the organization's internal communications

If you do not have the link, contact the organization you want to work with and ask for the case worker registration URL.

The Registration Form

The registration form collects the information the organization needs to evaluate and onboard you:

Name

Your first and last name.

Email

Your email address. This will be your login credential and the address where you receive system notifications. Use a professional or personal email you check regularly.

Professional Details

Depending on the organization, the form may ask for:

  • Your role or title
  • Your organization or employer (if you are a social worker, pastor, or similar professional)
  • Any relevant qualifications or experience

These details help the approver understand your background and suitability for the case worker role.

Selecting Areas

During registration, you select the service areas where you will be creating and managing needs. Areas represent geographic regions the organization serves.

Select the areas where you work or where the clients you serve are located. After approval, you will only be able to create and manage needs in your assigned areas. An admin or coordinator can adjust your areas later if needed.

Submitting the Registration

After filling out the form, click submit. You will see a confirmation page letting you know your registration has been received and is pending review.

The Approval Process

Case worker registrations are not automatic. After you submit, the following happens:

Review by Admin or Coordinator

An administrator or coordinator at the organization reviews your registration. They verify your identity, confirm your affiliation, and decide whether to approve your access.

What Reviewers Consider

  • Is the person known to the organization?
  • Do they have a legitimate need for case worker access?
  • Are the selected areas appropriate for their role?

Approval or Denial

The reviewer will approve or deny the registration. You will receive an email notification about the decision.

Timeline

Approval times vary by organization. Some organizations review registrations daily, while others may take a few days. If you have not heard back after a reasonable period, contact the organization directly to check on your status.

After Approval

Once approved, you will receive an email confirming your access. From that point:

Admin Panel Access

You can log in to the NeedBridge admin panel using the email and password you set during registration. The admin panel is where you create needs, manage your caseload, and coordinate with volunteers.

Role and Areas

Your account will be configured with the case worker role and the areas you selected (or areas the admin assigned to you). You will see only the needs and data within your assigned areas.

Getting Started

After logging in, you can:

  • Create your first need from the admin panel
  • Browse existing needs in your areas
  • Familiarize yourself with the dashboard and tools available to you

Your organization may also provide training materials or a walkthrough to help you get started.

If Your Registration Is Not Approved

If your registration is denied, the email notification may include a reason. Common reasons include:

  • The organization does not recognize your affiliation
  • Additional verification is needed
  • The selected areas do not match your role

Contact the organization directly if you believe the denial was an error or if you can provide additional information.
